Pharmacy inventory software for Nepal: every batch, every expiry date

HopMeds is pharmacy inventory software built for pharmacies and medical shops in Nepal. Every delivery is recorded as a batch with its expiry date, prices and supplier; the counter offers the earliest-expiring batch first (FEFO) and will not sell an expired one; and the expiry alerts and low-stock flags show what needs attention before it costs you money.

Receive and correct stock batch by batch

Each delivery goes in as a batch: batch number, expiry and manufacturing dates, quantity, cost and selling price, and supplier. HopMeds will not save a medicine batch without an expiry date, and refuses an expiry that has already passed. A new medicine’s opening batch goes on the same form as the medicine itself.

Counts drift: a strip tears, a box goes missing. Adjust the batch up or down with a written reason of at least 10 characters. A wrong batch number, expiry or price is corrected the same way, and each batch keeps a dated history of its stock movements and who made them.

Photograph the label instead of typing it

When you add a medicine, tap “Scan medicine label” and photograph the strip or box. HopMeds reads the batch number, expiry date, manufacturing date and printed MRP, often with the brand, generic name, strength and manufacturer, and fills the empty boxes on the form.

Nothing is saved until you check it. Boxes you already typed are left alone, and every filled box can be corrected before saving. Results depend on a sharp, well-lit photo, so treat them as a draft to confirm.

The counter sells the earliest-expiring batch first (FEFO)

Find a medicine by typing part of its brand name, generic name or manufacturer. On the bill, HopMeds lists only batches that can be sold (in stock, priced and in date), earliest expiry first, and selects that one: first expiry, first out. Each option shows batch, expiry, supplier, quantity and price, with a warning on batches close to expiry.

The pharmacist can still pick another sellable batch. An expired batch cannot be sold even by mistake: the bill is refused. Cancelling a bill puts its stock back.

Expiry alerts, low stock and dead stock: see what needs attention

Expiry Alerts groups batches into already expired and expiring within 90 days, with quantity, expiry date, days left and the value at risk in rupees. Medicines at or below the reorder level you set for each one (10 until you change it) are flagged in the stock list and counted on the dashboard, and the order list puts what is running out first.

Dead Stock lists medicines with stock but no sales over a period you choose, from one week to six months, with the most money tied up at the top. Performance ranks medicines by units sold, revenue, profit or margin over any date range and gives each one an A, B or C class by its share of profit, so you know which few must never run out.

Suppliers, purchase orders and an order list that does the sums

Keep suppliers with contact person, phone and PAN. Raise purchase orders, edit them while they are drafts, and confirm each one only after you have actually placed it with the supplier. Your recorded supplier dues show on the dashboard; from Plus, Books adds supplier bills, payments and a supplier aging report.

The order list works out what to buy from what actually sells. It measures each medicine’s sales over 7, 30 or 90 days, checks how long your stock will last and what is already on order, and suggests a quantity and the supplier you usually buy it from, with the estimated cost at the last price you paid. One button turns every line that needs ordering into draft purchase orders, one per supplier; you check the quantities and confirm.

Start from your current list, grow to more branches

You do not have to type your catalogue again. Upload your medicine list as Excel, CSV or JSON (up to 10,000 rows), preview it, map your columns to fields such as name, generic name, dosage form, strength and manufacturer, then apply. If a row matches a medicine already in HopMeds, the import stops and shows you those rows, so nothing is duplicated. Opening quantities and expiry dates are then received batch by batch, and our team helps with the first import.

What HopMeds does not claim: HopMeds does not read barcodes or connect to barcode scanners. Label photo reading is a draft you confirm, not a guarantee. Expiry and low-stock alerts appear only inside the app; nothing is sent by SMS, email or push notification. Purchase orders are not sent to suppliers for you. The hosted service needs internet; a separately configured installation on the shop’s own computer is available for pharmacies that must keep working through outages.

Questions about pharmacy stock and expiry

Does HopMeds track medicines by batch and expiry?

Yes. Every delivery is a batch with its own batch number, expiry date, prices and supplier. The counter sells the earliest-expiring batch first (FEFO), hides expired and zero-stock batches, and refuses a bill for an expired batch.

Can I scan barcodes?

Not yet. HopMeds does not work with barcode scanners, and search does not look up barcodes; you find a medicine by typing part of its brand name, generic name or manufacturer. To save typing when adding a new medicine, photograph its label and HopMeds fills in the batch number, expiry and MRP for you to confirm.

How accurate is the label photo reading?

It depends on the photo. A sharp, well-lit picture reads most reliably; a creased or shiny strip can be misread. That is why HopMeds fills only empty boxes and saves nothing until you have checked each one. Basic includes 50 scans a month, Plus 150, Pro unlimited.

Will I get expiry alerts on my phone?

Not as a message. The expiry alerts and low-stock flags are inside HopMeds, which you can open in your phone’s browser or from a home-screen icon. HopMeds does not send SMS, email or push alerts.

Can I import my existing stock list from Excel?

Yes. Upload Excel, CSV or JSON, preview the rows, map the columns and apply. The import brings in your medicines; opening batches with quantity and expiry are received afterwards, and our team can help with that first setup.

Can I move stock between branches?

Yes, on the Pro plan, which also adds the consolidated owner view. Basic includes one branch and Plus two, and each branch keeps its own batches and stock.
