Questions pharmacies ask about HopMeds
Straight answers about running a Nepali pharmacy on HopMeds: internet and local installation, Nepali and BS dates, VAT, stock, Khata, compliance, doctors, your data and pricing. Where HopMeds does not do something, we say so.
Getting started
How do I get a HopMeds account?
Tap Request access, fill in your pharmacy's name, branch, registration number and contact details, then enter the code we email you. You can also attach a copy of your registration or licence. Accounts are not created instantly: a person at HopMeds reviews every application first.
What does the review check, and what happens after approval?
Because HopMeds holds patient and controlled-medicine records, we confirm that each applicant is a real pharmacy or clinic, usually by checking the licence and contact details. Once approved, you get an email with a one-time link to set your own password, and then you can sign in.
Is there a free trial?
Yes. An approved pharmacy starts on a trial with every Pro feature, up to 3 branches and 30 label scans a month, and no card is needed. To carry on after the trial, you choose Basic, Plus or Pro and pay by bank QR transfer.
Will you help us get set up?
Yes. Tell us about your shop when you request access and we help you get running, including moving your current stock list in. You can reach us on +977-9768542410 or at info@hopmeds.com, in Nepali or English.
Running the shop
Does HopMeds work offline, without internet?
The hosted service at pharmhops.com needs an internet connection; it does not bill offline. If your shop must keep working through outages, we can set up a separately configured installation on the shop's own computer. Staff use it from computers and phones on the shop network, and it keeps running while that computer and network are on.
Which browsers and devices does HopMeds run on?
A modern desktop or mobile browser: a current Chrome, Edge, Firefox or Safari on a computer or phone. There is nothing to install: the counter computer, a laptop at home and the owner's phone all open the same HopMeds with the same records.
Can I add HopMeds to my phone's home screen?
Yes. Open pharmhops.com/app in your phone's browser and choose Add to Home screen from the browser menu; in Safari, tap Share first. HopMeds then opens from its own icon without the browser bar, and it is always the latest version.
Is there an Android app?
There is no store listing yet. On Android, HopMeds runs in the browser; add it to your home screen and it opens like an app, with the same login and records as the shop computer.
Is HopMeds available in Nepali?
Yes. The whole staff app switches between Nepali and English at any time, and HMIS-style reports carry both Nepali and English labels. Receipts print in English, with the date in BS.
Does HopMeds use Nepali (BS) dates?
Yes. Receipts show the BS date, invoice numbers follow the Nepali fiscal year that starts in Shrawan, and the monthly report runs by Nepali (BS) or English (AD) month. The IRD-style sales register lists both dates for every bill.
Billing & VAT
How does HopMeds handle 13% VAT?
Medicines are VAT-exempt by default, set on each medicine in your catalogue rather than typed at the counter, and taxable items carry 13% VAT. VAT is charged and a tax invoice issued only when your pharmacy is VAT-registered with its 9-digit PAN; otherwise bills are VAT-free.
What does a HopMeds tax invoice show?
It follows the IRD format: a sequential number per branch and fiscal year, the buyer's PAN, the taxable and exempt amounts and the 13% VAT. A draft has no number; a bill is numbered when you finalize it, and a cancelled bill keeps its number.
Is HopMeds enlisted with the IRD?
No. HopMeds is not on the IRD's list of enlisted billing software, and it does not send invoices to the IRD. It produces IRD-format tax invoices and an IRD-style sales register, with invoice number, BS and AD date, buyer, taxable, exempt and VAT columns, which you use for your own VAT filing as you do today.
Can I print receipts on my receipt printer?
HopMeds makes each receipt as a PDF sized for 80 mm receipt paper, which you print from your computer's or phone's normal print dialog, or share as a file; it does not connect to the printer directly. Receipts show the BS date, and a reprint is marked as a numbered copy.
Can customers pay by scanning a QR code?
Yes. Add your shop's NepalPay or Fonepay merchant QR once, and each bill can show a scan-to-pay QR with the amount already filled in. HopMeds does not confirm payments: check that the money has arrived in your bank app, then record the payment on the bill.
What happens when I cancel a bill?
You give a reason of at least 10 characters, and the bill is cancelled rather than deleted. It keeps its number in the sequence, its stock goes back into inventory and its accounting entries are reversed, so your sales register still accounts for it.
Stock & expiry
Does HopMeds track batches and expiry dates?
Yes. Every delivery is received as a batch with its own expiry date and MRP, and at the counter HopMeds offers the earliest-expiring batch first (FEFO) and leaves expired batches out. Stock adjustments need a written reason, and every batch keeps a history of what came in and went out.
Will HopMeds warn me before medicines expire?
Yes, inside the app. Inventory has an Expiry Alerts list of batches nearing expiry, items below their reorder level are flagged as low stock, and the dashboard shows both, so staff can act before stock is wasted. HopMeds does not send SMS, email or push notifications about stock.
Can I enter stock by photographing the medicine label?
Yes. Photograph the label and HopMeds reads the batch number, expiry date and MRP for you to confirm or correct before anything is saved. Basic includes 50 label scans a month, Plus 150 and Pro unlimited; the trial includes 30.
Does HopMeds work with a barcode scanner?
No. There is no barcode scanner support. Staff find a medicine by typing its brand name, generic name or manufacturer, and new stock can be entered by photographing the label.
Can I import my stock list from Excel?
Yes. Upload an Excel, CSV or JSON file, preview the rows, match your columns to HopMeds fields, then apply. Patient lists can be imported the same way. Row and file-size limits apply, and we can help with the first import.
Khata & books
Can I track udharo (customer credit)?
Yes. When a customer pays only part of a bill, the balance goes into their Khata. You see who owes what and for how long (aging), view a statement for each customer and set a credit limit if you want one.
Does HopMeds send payment reminders to customers?
No. HopMeds sends no SMS or other messages to customers. The Khata shows who owes what and for how long, and you remind customers yourself, by phone or at the counter.
Does HopMeds keep full accounts?
From the Plus plan, HopMeds keeps double-entry books: a chart of accounts and fiscal-year periods, journals, supplier bills and payments, and trial balance, profit and loss, balance sheet and cash-flow reports. The books support your accountant; they are not audited statements and do not replace statutory accounts.
Compliance
Does HopMeds keep the narcotic (controlled-medicine) register?
Yes. Every receipt, sale, return, adjustment and destruction of a controlled medicine is written to the register with a running balance. A sale needs the branch's DDA permit, a verified prescriber with an NMC number, the prescription reference and the buyer's name and address. You can review the register by month and run a stock check that compares it with a physical count.
Can HopMeds submit my HMIS report?
No. HopMeds prepares HMIS-style monthly summaries for each branch, covering OPD morbidity, drug dispensing and finances, with Nepali and English labels, and exports them to Excel or CSV for your own filing. Nothing is sent to DoHS or any government system, so check the current official form before relying on the layout.
Does HopMeds verify doctors with the NMC?
It records your check; it does not look doctors up automatically. You search the public NMC register yourself, then mark the doctor verified or not in HopMeds, with a note; HopMeds records the outcome, who decided and when. Only verified prescribers can be used for controlled-medicine sales or paired for e-prescriptions.
Is HopMeds approved by DDA, NMC or the Department of Health Services?
No. HopMeds follows the formats pharmacies already work with, such as IRD-format invoices, a DDA-style controlled-medicine register and HMIS-style summaries, but it holds no approval or accreditation from DDA, NMC, DoHS or the IRD, and it sends nothing to them.
Doctors
Do doctors need a HopMeds account?
No. You create a 6-digit pairing code and the doctor enters it once on their phone. Pairing comes with Plus, for up to 10 doctor devices, and with Pro, without a limit; Basic does not include it.
How do e-prescriptions reach my counter?
A paired doctor writes the prescription on their phone and sends it to your pharmacy. It arrives in your incoming queue with a pickup code; staff accept it, bill the patient as usual and record the dispense against that bill.
Is this telemedicine?
No. There is no video or online consultation. Doctor sessions happen in person at your pharmacy, each with a scheduled time, a patient capacity and token numbers, and they come with Plus and Pro.
Do doctors earn anything for sending patients to my pharmacy?
No. HopMeds does not pay doctors for prescriptions or referrals, and it has no way to pay them per patient.
Data & privacy
Where is my pharmacy's data stored?
The hosted service runs on Render in the United States (Oregon), behind Cloudflare, so records are stored outside Nepal. Render keeps short-term point-in-time backups, and HopMeds also keeps full database copies in restricted storage to recover from a disaster.
Can my data stay on my own computer?
Yes, with a local installation that we configure on the shop computer. Your records then stay on that machine, staff reach it over the shop network, and your pharmacy is responsible for keeping it backed up.
Who can see my pharmacy's records?
Your own staff, according to their role and branch, and a small number of HopMeds platform administrators, who use that access for support, investigating problems and running the service. A doctor or another pharmacy receives patient details only when someone uses a sharing feature such as an e-prescription. Doctors using HopMeds can also search which pharmacies have a medicine in stock; that index holds no patient details.
How do I delete my account, and what is kept?
Delete it in Settings → Compliance → Delete my account, or from the public account-deletion page without signing in; it takes effect 14 days after you confirm, and you can cancel by signing in before then. Bills and payments, accounting records, patient records and the controlled-medicine register belong to the pharmacy and are kept as long as Nepali tax and drug-control law requires. The last administrator of a pharmacy cannot delete alone; to close the whole pharmacy, email info@hopmeds.com.
Can I export my data?
Yes. The monthly report, the IRD-style sales register and HMIS-style summaries download as Excel or CSV, and receipts as PDF; the controlled-medicine register is viewed on screen by month. For an export you cannot make yourself, email info@hopmeds.com.
Pricing
How much does HopMeds pharmacy software cost?
Plans are priced in Nepali rupees: Basic Rs 999, Plus Rs 1,499 and Pro Rs 2,499 per month. Paying yearly costs Rs 9,999, Rs 14,999 or Rs 24,999, about ten months at the monthly rate, so roughly two months free.
Are bills or patients limited on any plan?
No. Every plan includes unlimited bills and patients. Plans differ in branches, staff logins, label scans and doctor features: Basic has 1 branch with the owner and 1 staff login, Plus 2 branches with the owner and 2 staff, and Pro has no limit on branches or staff.
How do I pay for a plan?
By bank transfer. Scan the payment QR that HopMeds shows you with your bank app, then enter the payer's name, the bank and the transaction reference. The HopMeds team checks the payment by hand before the plan is switched on, so activation is not instant. Card payment is not available.
What HopMeds does not claim: HopMeds is not on the IRD's enlisted software list and holds no approval from DDA, NMC or DoHS. The hosted service needs internet, nothing is texted to customers or patients, there is no barcode scanner support, and there is no store listing for a mobile app yet.
